We are seeking a highly skilled and motivated Executive Operations Assistant to support our company’s growth. In this role, you will provide comprehensive administrative support, arrange business travel, track expenses, and oversee internal procurement processes, all in alignment with our business objectives.This position offers a unique opportunity to contribute to the company’s success while working in a dynamic and fast-paced environment.

Your main responsibilities:
Executive Support:
• Provide full administrative support to the CEO & CFO, ensuring smooth daily operations.
• Proactively manage calendars, meetings, and appointments, ensuring optimal scheduling.
• Organize and coordinate worldwide travel arrangements, including visas, letters of invitation, hotels, rental cars, and flights.
• Organize meetings and workshops (onsite and offsite), including the setup of technical equipment (Microsoft Teams, conference calls, etc.).
Finance, Accounting & Procurement:
• Handle and process the entire employee expense process and reimbursements.
• Manage incoming invoices, ensure correct approvals, and enter payments for timely processing.
• Oversee procurement processes, including sourcing and purchasing IT equipment (laptops, accessories), office supplies, employee gifts, and other business-related items.
• Liaise with vendors and suppliers, negotiate contracts, and ensure cost-effective purchasing.
Employee Onboarding & Offboarding:
• Provide administrative support in the hiring process by ordering equipment for new employees, business and credit cards.
• Manage system access and ensure compliance with the company.
• Oversee the offboarding process, including retrieval of company assets, access deactivation, and final clearance.
Compliance & Policy Management:
• Regularly update company policies and procedures in alignment with industry regulations.
• Ensure smoothSharePoint management for internal documents, business contacts, and distribution lists.
Office& Event Management:
• Organize team-building events, business functions, and company-wide celebrations.
• Handle general office management tasks, ensuring smooth operations.
• Provide administrative support for ad-hoc projects and cross-functional collaboration.
• Use independent judgment and discretion to manage additional administrative duties as required.
Who you are:
• 2+ years of experience as an Executive Assistant, Office Manager, or Administrative Manager.
• Experience in a fast-paced, international, or startup environment is highly desirable.
• Proven experience handling finance-related tasks (e.g., processing invoices, managing payments, procurement).
• Experience with onboarding, HR administration, and office management is a plus.
• Experience in sourcing and purchasing office supplies, IT equipment, and employee gifts.
• Ability to negotiate with vendors and manage supplier contracts.
• Advanced working knowledge of relevant IT systems (Word, PowerPoint, Excel, Outlook, MS SharePoint, Invoice Management, and other tools).
• Ability to anticipate needs and take initiative in a dynamic work environment.
• Strong organizational and multitasking skills to handle various responsibilities efficiently.
• Excellent verbal and written communication skills in English.
• Ability to work with senior executives while maintaining confidentiality and discretion.
• Strong interpersonal skills to collaborate effectively across different teams.
